1. Introduction
Welcome to Synergia HRMS, a human resource management system developed and owned by Convibe Technologies WLL, Qatar. These Terms and Conditions (“Terms”) govern your access to and use of the Synergia HRMS website and mobile application (collectively, “the Service”).
By accessing, downloading, or using the Service, you acknowledge that you have read, understood, and agreed to be bound by these Terms. If you do not agree to these Terms, you must not use the Service.
2. Description of the Service
Synergia HRMS is a cloud-based HRMS platform that allows companies to manage HR-related functions including employee self-service, scheduling, attendance, approvals, leave management, and other features. The mobile app acts as a support tool to the web application and does not function independently.
The app does not store data locally and is designed strictly for authorized use by employees of subscribing companies.
3. Eligibility and Account Access
You must be an employee or designated user of an organization that subscribes to Synergia HRMS to access the Service. The following conditions apply:

You must be provided with login credentials by your employer or administrator.

You are responsible for maintaining the confidentiality of your login information.

You agree not to share your credentials or allow unauthorized access.
4. User Obligations
You agree to:

Use the Service only in accordance with your employment responsibilities.

Provide accurate information and update it as needed.

Immediately notify your employer or support@synergia.qa in case of a security breach.
You agree not to:

Attempt to bypass authentication or gain unauthorized access.

Modify, reverse engineer, or tamper with the Service’s source code.

Upload viruses, spyware, or engage in harmful digital activity.

Use the system in violation of local laws or company policies.
5. Intellectual Property Rights
All content, design, source code, software, features, graphics, branding, and materials provided on or through the Synergia HRMS platform are the exclusive property of Convibe Technologies WLL or its licensors.
You may not copy, reproduce, distribute, sell, or exploit any portion of the Service without express written permission from Convibe Technologies.
6. Data Privacy and Security
The Service is designed with data protection as a priority. By using the Service, you consent to the collection and use of data as outlined in our Privacy Policy.
We assure:

No personal data is collected directly through the app.

Only location data and biometric data (planned) are collected for authentication and attendance.

All data is encrypted in transit and at rest.

Data is stored only on secure backend servers; no local data is saved on the device.
Your employer is the data controller. We do not sell or share data with third parties.
7. App Updates and System Maintenance
We may from time to time:

Release updates or patches to improve performance or security.

Temporarily suspend access for scheduled maintenance.

Modify or discontinue features without prior notice.
We strive to maintain high availability but do not guarantee uninterrupted access.
8. Limitations of Liability
To the maximum extent permitted by law:

We are not liable for any direct or indirect loss resulting from the use or inability to use the Service.

We are not responsible for data inaccuracies entered by your employer.

We are not liable for unauthorized access caused by user negligence (e.g., sharing passwords).
Your use of the Service is at your own risk.
9. Termination
We reserve the right to restrict or terminate your access to the Service if:

You breach these Terms.

Your employer unsubscribes or disables your access.

Unauthorized activity is detected.
Your data may remain available through your employer’s web platform as governed by their internal policy.
10. Legal Compliance and Jurisdiction
This Agreement shall be governed by and construed in accordance with the laws of the State of Qatar, without regard to its conflict of law principles.
Any disputes shall be submitted to the exclusive jurisdiction of the courts of Qatar.
11. Amendments to Terms
We reserve the right to revise these Terms and Conditions at any time. All changes will be posted at https://www.synergia.qa/terms, and the revised version becomes effective immediately upon posting.
Continued use of the Service after changes implies your acceptance of the new terms.
